Manager Position in our Dumfries Charity Shop
We are looking for a new shop manager to work in our Dumfries charity shop.
This is an amazing opportunity for someone who has a passion for retail and a love of dogs as we rely on our shops to ensure our dogs at the centre have all they need.
The hours for role is 20 over 5 days.
28 days annual leave (pro rata) inc bank holidays
£13.04 an hour.
Job Summary
To ensure the smooth daily operation of the shop, ensuring it adheres to regulatory legislation, Health & Safety guidelines and Dumfries and Galloway Canine Rescue Centre policies. The shop manager is responsible for managing the shop takings and ensuring efficient report as well as maximising sales and profits. The shop manager is responsible for recruiting, training and supporting a motivated team of volunteers to support the efficient running of the shop. The shop manager is required to collaborate with other DGCRC retail managers and volunteers and ensure consistency in operations and efficient stock control. At all times the shop manager is expected to promote the work of the charity and act as an ambassador of the charity.
Training will be provided on budgeting, financial reporting and essential DGCRC policies.
About the role
The charity has six retail premises as well as the online retail presence. The profits from the shops play a critical role in supporting the activities of the charity including the funding of the kennels and support for the dogs in our care.
Retail sales – Maximising income from donated stock ensuring the highest standards of retail display and merchandising. Maintain our standard trading hours. Ensure an effective system is maintained to collaborate with the six other shops to manage stock and online trading. Ensure shop window presentation standards are met including rotation of goods. Ensure appropriate seasonal/campaign window displays are featured.
People – Lead and inspire the team to continuously improve and evolve, creating a can-do attitude, teamwork, support and a positive working culture. Work closely with other shops to promote a collaborative approach. Manage effective volunteer rota to ensure store operating hours can be maintained. Effectively manage conflict and seek healthy resolution.
Training and Development – Ensure all volunteers receive timely and ongoing training, development, coaching and feedback to ensure that they grow and fulfil the duties to the best of their abilities.
Resource Management – Maximise available resources of finance, volunteers, buildings and equipment to deliver excellent standards whilst achieving financial targets. Find creative and innovative solutions to drive productivity and efficiency.
Financial management – Adhere to financial procedures and ensure maximum economy of resources and achieve best value for money. Produce annual budget for income and expenditure. Provide monthly report on any variances against budget. Ensure all financial management, cash handling, daily banking and security procedures are followed. Complete all necessary paperwork and administration as required by the role. Submit data to financial systems as required and in the format required within given timelines. Report on financial discrepancies immediately to line manager.
Volunteers – Recruit and build a strong volunteer team who feel supported, respected and valued and become assets to the charity shop and ambassadors to the charity.
Health and Safety / Legislation – Ensure that all Health & Safety measures as required by law are observed. Ensure that there is a full understanding of and support for the Disability Discrimination Act and Equality Act and their implication on charity shop workplace. Ensure there is appropriate fire safety and risk management procedures in place for the shop premises and that all volunteers are familiar with the policies and any requirements of them. Full compliance with Data Protection laws must be adhered to.
Security – maintain the security and safety of the shop, the building and its contents. Report any defects and faults and ensure plans put in place (in consultation with manager and contractors as required) to remedy any repairs mitigating wherever possible any disruption to business trading. Assume overall responsibility for access to the shop including key-holding and maintaining records on who holds keys and has access to the premises.
General – Attend management meetings and training as requested. Support fund raising activities where possible and act as an ambassador to the charity.
Minimum Qualifications
Full clean driving licence
Basic IT Literacy (Excel, Word, Microsoft 365 and email)
Coaching and supporting volunteers
Strong awareness and understanding of the commercial retail environment
Good organisational skills
Positive, can-do attitude
Excellent customer service skills
Stock control experience
Knowledge of the local community
Ability to work and think flexibly and independently
Basic financial reporting
Good understanding of the value of donated goods – spotting high value items
Understanding of and compliance to current legislation relating to retail environment
Experience of cash handling
Coaching and supporting staff
Experience of volunteer management
Desirable
Understanding and experience of stock control for donated goods
Understanding of pricing for donated goods
Strategic planning and demonstratable experience of retail growth
Previous experience with Merlin till systems (ePOS)
